An HR consultancy’s website that gets found on Google, leads visitors to get in touch and keeps an eye on its own health.

The challenge

Space Work is an HR consultancy and recruitment firm founded in 2000, with offices in Brescia, Milan and Castelfranco Veneto. PlayMind Studio is their technology partner: we look after their website, AI training for their team and much more.

The old WordPress site was mostly found by people who already knew Space Work: around 64% of clicks from Google came from searches for the company’s name. The vacancies sat on an external page that Google didn’t credit to the site.

The constraint: candidates and CVs live in InRecruiting, the applicant tracking system Space Work uses every day. That system stays untouched: the website connects to it.

Vacancies and candidates4

  • Vacancies on Google

    Every 2 hours the site reads the vacancies from InRecruiting: it publishes new ones, closes expired ones and tells Google about every change, including for the job listings box in search results.

  • Spotting incomplete vacancies

    In the admin panel, a box counts the vacancies missing the gross annual salary, contract type, working arrangement or client, and groups them by recruiter: you see at a glance what’s missing and whom to ask.

  • Urgent and featured vacancies

    From the admin panel a vacancy can be featured or flagged as urgent, overriding what comes in from InRecruiting, with an internal note.

  • No CVs pass through the site

    The application forms are InRecruiting’s own: candidates’ data goes from the browser straight to the applicant tracking system, and our server never sees it.

  • A welcome that sorts candidates from companies

    A welcome window splits the paths straight away: candidates are sent to the CV form or the open roles, companies pick the services they’re interested in and leave their contact details.

  • WhatsApp with the message pre-filled

    For companies, a button in the welcome window opens WhatsApp with the chosen services, email and phone number already in the message: they just press send.

  • Contact form that catches mistakes

    It says what’s missing field by field, shows how much space is left, corrects typos in the email address (‘gmial’) and spots fake phone numbers. Whoever writes in gets a confirmation.

  • Enquiry log

    Every enquiry lands in the admin panel: read and unread with a counter, a filter by source, export to Excel and an alert if the notification email failed to send.

Content and AI5

  • AI summaries and social post drafts

    The AI writes a summary of every article, suggests the English version of each team member’s role and bio, and prepares draft posts for LinkedIn, Facebook and Instagram. A person checks everything before it’s saved.

  • AI costs, request by request

    A page in the admin panel lists every AI request and what it cost: about 5 US cents for the three social drafts of an article.

  • News editor

    Visible limits on every field, up to three featured articles, cover image cropping. The 38 articles from the old site were carried over.

  • Downloadable documents

    Brochures and PDF documents, reordered by drag and drop, with a download count.

  • Chatbot with guided answers

    Pre-written answers behind buttons, with no AI and no free text: it guides visitors and only ever says the right thing.

Website, admin and security4

  • Bilingual website

    Italian and English, with an automatic check that flags every sentence changed in Italian but not updated in English.

  • Designed for phones

    Two in three visits came from a phone: a fixed bar at the bottom with the menu and language switch, and light animations that pause when they’re not needed.

  • Admin panel with roles and secure sign-in

    News, documents, enquiries, vacancies, team and client references. Five roles, each seeing only what it should, with two-factor authentication required.

  • Leaving WordPress without losing Google

    The 50 old URLs redirect to the new ones, each checked one by one, and the sitemap was submitted to Google.
